Chapter By-Laws

Attendee Refund Policy

72 hour written notice of cancellation is required for refund.    Credit towards a future event will be considered for written cancellations within 72 hours of the event.  Failure to attend an event does not constitute a cancellation of event registration and you will be charged for registering. 

Committee Attendance Policy

CAI-CT appreciates the commitment to the organization through volunteering to serve on a committee. Committee space is limited and CAI-CT is fortunate to have many members waiting to volunteer. Serving on a committee is great for CAI-CT but only if the meetings are attended by those actively participating in fulfilling the purposes of the committees. To that end, CAI-CT requires regular attendance from all committee volunteers. Volunteers who will be absent from a regularly scheduled committee meeting must notify CAI-CT in advance of the meeting. Committee volunteers are required to attend at least 80% of all regularly scheduled committee meetings during the preceding 12 months (not annually). Attendance may be in person or via telephone. Any committee volunteer that fails to attend 80% of all regularly scheduled committee meetings will be immediately removed from the committee. This policy has been approved by the Board of Directors and the Executive Director as well as each Committee Chair have been instructed by the Board of Directors to enforce this policy. The policy is effective immediately July 16, 2019.

 

Conference Vendor Booth/Sponsorship Reserve Policy

The Conference Committee, with the approval of the Board of Directors, adopted a policy concerning Exhibitor Booth reservations and vendor sponsorship reservations following each annual Conference. 

 

The Conference is held each March.  Each March, CAI-CT shall provide an official Contract for the following Conference. Any Exhibitor intending to reserve the same booth for the following year must provide the signed contract within two (2) weeks of the Conference ending.  For example,  if the Conference is held on March 16, 2019, in order to reserve the same booth for the following year, the Exhibitor must provide the signed contract by March 30, 2019. 

 

Any vendor intending to reserve the same sponsorship for the following year must provide the signed official Contract  within two (2) weeks of the Conference ending.  For example,  if the Conference is held on March 16, 2019, in order to reserve the same sponsorship for the following year, the vendor must provide the signed contract by March 30, 2019.

 

CAI-CT has no obligation to remind Exhibitors nor vendors that the deadline is approaching.

CAI-CT may offer any booth and/or sponsorship to another Exhibitor and/or vendor once the two (2) week deadline has passed if CAI-CT has not received the necessary documentation to reserve a booth or sponsorship. 

 

Contracts must be received by the due date.  Email is acceptable. 

 

Conference Booth/Sponsorship Cancellation Policy

Cancellation requests must be received in writing to ellen@caict.org or CAI-CT, 1489 Main Street, Glastonbury CT 06033.   Refund Schedule: 3 months prior to conference date – $100 booth cancellation fee,  1 month prior to conference date - $50% refund, Post March 1st – no refunds.

 

CAI-CT Membership Directory & Post Event Attendee Lists

The information contained in the CAI-CT Directory and Post Event Attendee Lists may not be used for commercial purposes. Except for the purpose of facilitating or conducting CAI business, they may not be reproduced by any means, added to databases or converted to any other format without the expressed written consent of CAI-CT.  Moreover, CAI-CT assumes no responsibility for the unauthorized use of any of the information contained in the CAI-CT Membership Directory & Post Event Attendee Lists.

 

Conference Suitcasing Policy

CAI has a no-tolerance policy regarding “suitcasing,” which describes the practice by non-exhibiting/sponsoring companies or individuals of soliciting sales or sales leads in the conference facility, on the expo floor, in the aisles or lobbies and/or representing their services or soliciting conference participants for conflicting social activities. Non-exhibiting suppliers participating in the conference as attendees or speakers are prohibited from soliciting business on the expo floor, in or after sessions or in the conference facility. Violators of these policies will be ejected from the show and charged the single booth rate, which must be paid prior to registering as an attendee, exhibitor or sponsor at any future CAI events.

 


Member Directory Policy

Listings the Connecticut Chapter of Community Associations Institute (CAI-CT) directory will be limited to current CAI-CT members.  CAI-CT members will receive ONE complimentary listing in the appropriate Member Section according to Member Type.

Business Partners

will be listed under the Business Partner Section.    Select ONE business category from the approved list.   Additional category listings are available at an additional charge.  Must be same company name for all listings.  May include additional contacts or locations.

 

Management Companies

will be listed under the Management Company Section.   ONE additional category in the Business Partner section is available at an additional charge.

 

Individual Managers

will be listed under the Individual Manager Section, the Management Company Section if the individual manager’s company is a Management Company member or the Community Association Volunteer Leader Section if they are an onsite manager.

 

Homeowner Leaders

will be listed in the Community Association Volunteer Leader Section.  Only association information will be listed.    If an association name is not provided, no listing will be printed.

 

 

EXHIBIT B – COLLECTION/NON-SERVICE POLICY

 
It is the policy of the CAI-CT Chapter to complete customer orders and forward an invoice for the merchandise.  Invoices for services will be sent immediately following completion of the service.
 
On or about thirty (30) days after the date of the original invoice, statements will be mailed to customers accompanied by copies of outstanding invoices.
 
On or about forty-five (45) days after the date of the original invoice, a person will contact the customer via telephone and e-mail and attempt to collect the amount due.  A record will be kept of telephone and email contacts.
 
If 60 days elapsed without payment, the account will be turned over to the organization’s collection agency if the amount is $500 or less.  If the debt exceeds this figure, the account will be handled by the organization’s attorney.  At this time, the member will be sent a letter notifying them that the account has been turned over for collection and that the member will no longer be eligible to receive benefits from the CAI-CT Chapter until the debt is cleared.  The Chapter may not refuse membership. However, the chapter may withhold member services (i.e. listing in chapter directory, advertising in chapter publications and attendance at chapter events).
 
A Bad Dept Collection Activity Record will be maintained to track telephone calls, collection agency action and attorney use concerning the customer.
